Reading a Maintenance Spend Rollup Before Budget Season
Budget season exposes gaps between how shops categorize work and how finance expects costs grouped. A rollup chart is only useful if both sides recognize the categories.
Start from finance's existing buckets
We request last year's approved budget lines—typically labor, parts, tires, outsourced major repair, and admin fees. Shop subcategories get mapped upward rather than forcing finance to learn shop codes.
Separate recurring from exceptional
Transmission rebuilds and accident damage distort monthly trends. We flag orders above a client-defined threshold and show them in a secondary band so routine brake and oil work remains readable.
Show trailing twelve alongside the month
Single-month spikes alarm executives; trailing averages show drift. Our standard layout pairs current-month bars with a thin twelve-month line for each major category.
